1. Agreement to terms
By accessing epexacademia.com or engaging any of our services, you agree to be bound by these Terms & Conditions (“Terms”). If you do not agree, please do not use our Website or services.
Where a separate signed service agreement exists between you and EpexA, the terms of that agreement will govern the specific engagement and prevail over any conflicting provisions in these Terms with respect to that engagement.

3. Services provided
EpexA provides professional academic publishing support, including but not limited to:
- Journal management, production, and distribution support
- Manuscript preparation guidance, review, and recommendations
- Publication and post-publication support
- Editorial training and workshops for editorial teams and journal staff
- Peer review process design, review, and ethical compliance guidance
- Quality and layout uplift services aimed at improving the readiness of manuscripts and journals for indexation opportunities
- Benchmarking, performance tracking, and reporting
- Statistical analysis review, plagiarism screening, and quality assessment
- Marketing, social media, and public relations support for academic content
- Author training, professional development, and career support
Important clarifications:
- We provide insights, recommendations, and guidance on manuscripts; we do not perform direct editing of your original scholarly content
- We provide quality and layout uplift to help improve your work’s chances of being accepted or indexed by third-party databases or publishers; we do not guarantee indexation, acceptance, or any specific outcome from any third party
Detailed scope of any specific engagement will be documented in a separate proposal, quotation, or signed service agreement (“Service Agreement”).
4. Client responsibilities
To enable us to deliver services effectively, you agree to:
- Provide accurate, complete, and timely information
- Grant necessary access to systems, data, and third-party accounts required to perform the service
- Review and approve deliverables within timelines set out in the Service Agreement
- Comply with applicable academic, ethical, and legal standards for your submissions
- Ensure you have the rights to any materials you submit (manuscripts, images, data)
- Act on our recommendations at your own discretion; final editorial and publication decisions remain yours
5. Fees and payment
Fees, payment schedules, currencies, and accepted methods are set out in the applicable Service Agreement or quotation and may vary depending on the use case and scope of work.
Late payments may incur interest as specified in the applicable Service Agreement, or the maximum rate permitted by law.
All fees are exclusive of applicable taxes, which will be added where required.
6. Cancellation and refunds
Cancellation windows, refund eligibility, and any associated fees are governed by the applicable Service Agreement and may vary depending on the use case and scope of work.
General principles:
- Cancellation requests must be submitted in writing to info@epexacademia.com
- Work already performed or delivered up to the cancellation date remains payable
- Delivered training sessions, published deliverables, and completed workshops are non-refundable unless otherwise agreed
7. Intellectual property
7.1 Client-provided materials
You retain full ownership of any manuscripts, research data, images, or other materials you provide to us. You grant EpexA a limited, non-exclusive license to use these materials solely for the purpose of delivering the services requested.
7.2 EpexA deliverables
- Recommendations, reports, layouts, translations, and other work product prepared exclusively for you transfers to your ownership upon full payment of the applicable fees
- Our proprietary tools, templates, training methodologies, frameworks, and internal workflows remain our exclusive property
- You may not resell, redistribute, or reverse-engineer our proprietary content
7.3 Website content
All content on epexacademia.com — including text, graphics, logos, images, and software — is owned by EpexA or its licensors and protected by copyright and other intellectual property laws. You may not reproduce, distribute, or create derivative works without our written permission.
8. Confidentiality
Both parties agree to keep confidential any non-public information exchanged during the engagement. This obligation survives the termination of any Service Agreement.
9. Warranties and disclaimers
- We warrant that services will be performed with reasonable skill and care, in accordance with generally accepted professional standards for academic publishing support
- We do not guarantee acceptance of manuscripts by any specific journal or publisher
- We do not guarantee indexation of any manuscript, journal, or publication by any database or indexing service; our role is to support and uplift quality to improve the likelihood of a favorable outcome
- We do not guarantee specific outcomes from marketing, promotion, or training services
- Our services are provided “as is” without any warranty of merchantability, fitness for a particular purpose, or non-infringement beyond what is expressly stated
10. Limitation of liability
The scope, cap, and specific limitations of our liability are governed by the applicable Service Agreement and may vary depending on the use case and scope of work.
In the absence of specific provisions in a Service Agreement, and to the maximum extent permitted by law:
- We are not liable for indirect, incidental, special, consequential, or punitive damages (including lost profits, lost data, or loss of business opportunity)
- We are not liable for the outcomes of decisions made by third parties (journals, publishers, indexing databases, funding bodies, or peer reviewers)
- Nothing in these Terms limits liability that cannot lawfully be excluded
11. Third-party links and services
Our Website may link to third-party websites. We are not responsible for the content, privacy practices, or availability of those third parties.
12. Career applications
Submitting a career application does not create an employment relationship. All hiring decisions are at EpexA’s sole discretion. Personal information submitted with applications is processed in accordance with our Privacy Policy.
13. Prohibited uses
You agree not to use the Website or services to:
- Violate any applicable laws or regulations
- Submit content that is fraudulent, defamatory, plagiarized, or infringes third-party rights
- Interfere with the Website’s security or functionality
- Attempt unauthorized access to our systems or other users’ data
- Engage in academic misconduct (fabrication, falsification, undisclosed AI-generated content passed as original)
14. Termination
We may suspend or terminate your access to services if you breach these Terms or a Service Agreement. Upon termination:
- Outstanding fees for work performed remain payable
- Confidentiality and intellectual property obligations survive
- We may retain records to the extent required by law or a signed agreement
15. Force majeure
Neither party is liable for delays or failures caused by events beyond reasonable control, including natural disasters, war, pandemic, government action, or telecommunications and infrastructure failures.
16. Governing law and disputes
- These Terms are governed by the laws of the United Arab Emirates
- Any disputes will be resolved through good-faith negotiation first; if unresolved within a reasonable period, disputes will be submitted to the competent courts of the United Arab Emirates
17. Changes to these Terms
We may update these Terms from time to time. The current version is always available on our Website. Continued use of our Website or services after changes constitutes acceptance of the updated Terms.
